Privacy Policy
This Privacy Policy explains how Pace Digital Works (“Pace Digital Works,” “we,” “us,” or “our”) collects, uses, shares and protects personal information when you visit our website at pacedigitalworks.com, send us an enquiry, or hire us to build something.
Pace Digital Works is a one-person studio operated by Charlene Pace, a sole proprietor based in Sta. Rosa City, Laguna, Philippines. We handle personal information in line with the Data Privacy Act of 2012 (Republic Act No. 10173), its Implementing Rules and Regulations, and the issuances of the National Privacy Commission (NPC).
The short version. We only collect what you actually send us — mostly through the enquiry form or by email, WhatsApp or Messenger. We use it to reply to you and to do the work you hired us for. We do not sell your information, we do not run advertising trackers, and we do not use Google Analytics on this site.
1Who this covers
This policy applies to:
- Visitors to pacedigitalworks.com, including the sample websites and demo pages hosted under it;
- People who contact us by form, email, WhatsApp or Facebook Messenger; and
- Clients whose projects we build and support.
Our own software products — Pace Lodgix and My Workspace — have their own separate privacy policies, which apply instead of this one when you use them. For Pace Lodgix, see pacelodgix.com/privacy.html.
2What we collect
a. What you type into the enquiry form
The form on our home page asks for three things and offers several optional ones. When you submit it, we receive:
- Required: your name, your email address, and your business name.
- Optional, if you fill them in: phone or WhatsApp number, business address, what your business offers, business hours, a preferred contact email, your social media links, your website or domain, example websites you like, links to your logo and photographs, and any other notes you add.
The form is delivered to our inbox by Formspree, an outside form service — see section 7.
b. What you send us in a message
If you email us, message us on WhatsApp, or message our Facebook page, we hold that conversation and whatever you chose to put in it — including files you attach.
c. What we collect while doing your project
To build a website or a system for you, we handle your business information: your logo, photographs, text, prices, opening hours, contact details, and login access to accounts you give us, such as your domain name or existing website.
d. What is collected automatically
- Server records. Our host, Cloudflare, records standard technical details of each request — IP address, browser and device type, the page requested, and the time. This is used to serve the site, keep it up and block attacks.
- Cookie consent. Cookiebot stores your cookie choice so we do not ask you again on every page. See section 5.
We do not install Google Analytics, advertising pixels, session recorders or heat-mapping tools on this website.
3Why we use it
We use the information described above only to:
- Reply to your enquiry and prepare a written quote;
- Carry out the work you hired us for, and support it afterwards;
- Send you project updates, invoices and receipts;
- Keep our own accounting, tax and business records;
- Keep this website working, fast and secure; and
- Meet our legal obligations.
We do not sell or rent your personal information, and we do not use it to build advertising profiles. We only add you to a mailing list if you ask us to, and you can leave at any time.
4Our legal grounds
Under the Data Privacy Act, we rely on one or more of these grounds, depending on the situation:
- Your consent — when you choose to send us your details, or accept cookies. You can withdraw it at any time.
- To carry out a contract — to do the work in your quote, and to invoice you for it.
- Our legitimate interests — to keep the website secure, to answer enquiries, and to keep proper business records, where this does not override your rights.
- Legal obligation — where a law, such as tax record-keeping, requires it.
5Cookies & your choice
A cookie is a small file a website stores on your device. This site uses very few of them:
- Strictly necessary. Cookiebot stores the cookie choice you made, so the banner does not appear again on every page. Cloudflare may set a security cookie to tell a real visitor from an attack.
- Advertising and analytics. None. We do not place advertising cookies or third-party analytics on this website.
How to change your mind: select Cookie settings at the bottom of any page on this website. That reopens the banner so you can change your choice. You can also delete cookies at any time in your own browser settings.
Fonts. The two typefaces on this website are stored on this website and sent from it. They used to be loaded from Google's servers, which meant Google saw your IP address on every page you opened. That stopped on 16 August 2026. Nothing on these pages is fetched from Google.
Two outside services are still involved in delivering a page, and each sees your IP address and browser type as part of doing so:
- Cloudflare — the website itself is delivered from Cloudflare's network.
- Cookiebot (Usercentrics) — loads the cookie banner and records the choice you make on it.
Neither is used by us to identify you or to follow you around the internet.
6Who we share it with
We share personal information only in these situations:
- Service providers who host the website and deliver our forms and email — listed in section 7;
- Where you tell us to — for example, when we set up an account for you with a hosting or email provider;
- Where the law requires it — in response to a lawful request, or to protect our rights, our safety, or the safety of others; and
- If the business is sold or restructured — in which case this policy continues to apply to your information.
There is no team, no agency and no subcontractor holding your information as standard. If a project ever needs another specialist, we tell you first.
7Our service providers
We keep this list short on purpose. Each provider only handles what it needs to do its job:
- Cloudflare — hosting, content delivery and security for this website (Cloudflare Pages).
- Formspree — receives the enquiry form and forwards it to our inbox.
- Cookiebot (Usercentrics) — shows the cookie banner and records your choice.
- Email, WhatsApp and Facebook Messenger — carry the messages you choose to send us, under their own privacy policies.
- Project-specific providers — where your own project needs a database, email service or hosting account, we tell you which one is used before we set it up.
Some of these providers store data outside the Philippines — see section 13.
8Client projects & their customers
When we build a website or a system for a client, that client's own customers may send information through it — an enquiry, a booking, a phone number.
- The client is responsible for that information, not us. In the language of the Data Privacy Act, the client is the personal information controller, and we act as a processor on their instructions.
- We only access it where we need to in order to build, fix or support the system, and we do not use it for anything of our own.
- If you are a customer of one of our clients and want your information corrected or deleted, please contact that business directly. If you are not sure who to ask, email us at [email protected] and we will point you to the right person.
9Sample websites & demos
The example websites shown on this site are marketing samples we built ourselves. The businesses in them are fictional and the photographs are stock photography. Their forms do not send anything to anyone and nothing typed into them is stored, by us or by anyone else.
10Links to other websites
This site links out to places such as Facebook, WhatsApp and pacelodgix.com. Once you follow a link, you are on someone else's website under their privacy policy, and this one no longer applies. We are not responsible for how they handle your information.
11How long we keep it
- Enquiries that do not become projects — kept for up to twelve (12) months in case you come back, then deleted.
- Client project files and messages — kept for the life of the project and for a reasonable period afterwards, so we can support what we built.
- Invoices and accounting records — kept for as long as Philippine tax law requires, which is longer than the periods above.
- Server security records — kept for a short period by our host and then rotated out.
You can ask us to delete your information sooner — see section 14. We may have to keep records the law tells us to keep.
12How we protect it
- The whole website is served over an encrypted connection (HTTPS), so what you type into the form is scrambled in transit.
- Accounts holding client information are protected with strong, unique passwords and, where the provider supports it, two-step verification.
- Access is limited to one person — the owner — because there is no one else in the studio.
- We use established, security-focused providers rather than running our own servers.
No website or storage method is completely secure, and we cannot promise absolute security. If a personal data breach happens that is likely to cause serious harm, we will notify the National Privacy Commission and the people affected, as the law requires.
13Information sent outside the Philippines
Cloudflare, Formspree and Cookiebot operate globally, so your information may be processed or stored in another country. Where that happens, we rely on the contractual and security commitments those providers make, so your information keeps a level of protection consistent with the Data Privacy Act.
14Your privacy rights
Under the Data Privacy Act you have the right to:
- Be informed about how your personal information is used;
- Access a copy of what we hold about you;
- Have anything wrong or out of date corrected;
- Object to how it is used, or ask us to erase or block it, where the law allows;
- Take your data with you, in a usable format;
- Withdraw your consent where consent is what we relied on;
- Be compensated for damage caused by a misuse of your information; and
- Complain to the National Privacy Commission (privacy.gov.ph).
To use any of these rights, email [email protected]. We reply within a reasonable time and, in any case, within the period the law sets. We may need to check who you are before we act, so nobody else can request your information.
15Children
This website and our services are meant for businesses and adults. We do not knowingly collect personal information from children under 18. If you believe a child has sent us information, contact us and we will delete it.
16Changes to this policy
We may update this policy from time to time — for example, if we start using a new service provider. When we do, we change the “Last updated” date at the top of this page, and for an important change we will say so more prominently. Continuing to use this website after an update means you accept the new version.
